Office Manager/PA- September Start- South East London




Tempest Resourcing are currently working with a School in Kent who are recruiting for a Office Manager/PA with SIMS experience.


The hours are 36 Hours per week 52 weeks per year on a permanent basis.


Job Summary:


Secretarial support to the Head of School and delegation of secretarial support to administrative staff within the team for other manager tasks as required. Specific responsibilities include managing the school office in order to maintain an efficient and purposeful environment. Managing the provision of reception cover. Creation and maintenance of accurate and confidential records. To undertake financial control procedures to ensure Best Value is obtained on the school’s behalf. Contributing to the raising of standards by means of strategies to reduce bureaucracy and ensuring that administrative support staff are appropriately managed and trained to meet the needs of the school.


Main purpose of the job:


Under the direction of the Head of School, the postholder manages the workload of the office and administrative staff


Major Duties and Responsibilities:


Deal with correspondence, telephone calls, visitors and enquiries, ensuring the proper staffing of the reception desk and switchboard


Maintain confidential staffing records including absence management and recruitment processes and maintain pupil records and operate procedures dealing with admissions, withdrawals, transfers, health issues, administer medication where appropriate etc.


Resources


General Office equipment, Breakfast Club Revenue, Petty Cash, School Procurement Card, Key holder for the Centre including the School Office, School Safe, Laptop, SIMS and SIMS Back-up. Managing aspects of the day to day organisation of the PRU budget.


Person Specification:


  • Experience of working in a school office for at least 3 years in an administrative capacity (Oakwood/ PSSS

  • Experience of leading a team of staff (PSSS).

  • Experience of exam officer duties and ability to manage these with confidence (PSSS)

  • Knowledge and understanding of school finance procedures and willingness to engage in further training to advance knowledge as required (Oakwood / PSSS )

  • Excellent organisational skills and abilities.

  • Sound understanding of IT systems and management information systems including SIMS.

  • Confidence in handling confidential situations and information.

  • Excellent time management.

  • Ability to communicate with a wide range of people in a calm, professional manner.

  • Experience of DFE and LA returns including the annual census.
