Program Coordinator - Kent - Green River Community College - Kent, WA

This position provides evening support for downtown Auburn Center instruction credit and non-credit, and is responsible for the evening logistics of all evening programs. The primary responsibilities of this position are faculty support, student customer services, registration, records management, and assisting in Center marketing efforts. Other duties may be assigned within the general program coordination job description as specific Auburn Center needs are defined. This position requires an exceptionally dependable person.

Hours for this position 12:30pm – 9:30pm M-Th and 8:30-5 F – when classes are in session; 8:30-5 during breaks.

Customer Focus Auburn Center Program Support:
Provide evening support for instructors teaching evening schedules

Provide customer service regarding Auburn Center programs

Recommend alternative courses of action; respond to requests and complaints

Process student registrations

Receive, process, and deposit registration/program fees

Create and distribute class packets and related materials

Coordinate with main campus on college policies and procedures

Provide instructor support including employment forms,

timelines & policies

Create program reports by extracting and compiling data

Update and monitor class changes as needed in Campus CE database

Process refund requests and monitor the unofficial enrollment report

Assist with class scheduling and data input

Assist with preparing marketing materials including proof reading

Monitor budgets, including requisitions and budget transfers, reconciliation

Prepare weekly room usage reports for safety and facilities

Manage assignments and key distribution for faculty offices

Daily postings of class notices or class cancelations

Provide technical support for on-line classes

Textbook management as needed


Qualifications:
Minimum Qualifications:
AA degree or 3 years in administrative support.

Two years’ experience working in an office or professional setting using clerical skills.

Strong organizational skills including prioritizing, keeping track of information or work in progress, ensuring accuracy, multi-tasking, flexibility, and handling interruptions appropriately.

Exceptional customer service skills with the ability to place a high priority on professional excellence; manage stress appropriately.

Evidence of high attention to administrative detail


Computer Skills:
MS Word –Ability to create, format, and edit tables, columns, and charts; insert and format sections, create headers and footers; use mail merge to create form letters; modify merged documents, and merge envelopes and labels.

MS Excel – Ability to create and manipulate complex spreadsheets; perform mathematical formulas; use functions; import data from various sources; create charts and graphs. Strong written and oral communication skills; demonstrated expertise in writing and editing; ability to compose, send, and respond to electronic mail; utilize e-mail functions such as calendars and meeting requests; navigate the Internet to find and download information.

Experience documenting and updating information in written and electronic format to maintain accurate and complete records.

Ability to work independently and as a member of a team.

Ability to adhere to the highest standards of integrity and honesty and maintain confidentiality.


Preferred Qualifications:
Experience at a college, school or university setting

3 years Customer Service experience


Computer Skills:
Excellent Microsoft office skills

CampusCE, SMS, or related registration/program management software – Ability to input student data, schedule classes, and produce reports.

Constant Contact – ability to create email surveys, newsletters, and marketing pieces; maintain and manipulate contact lists.

Familiarity with graphics and database software. Inventory skills: ordering, receiving, and tracking program materials.

Ability to clearly and effectively communicate with individuals and groups within and outside the College.
