Receptionist - Oberto Brands - Kent, WA
Primary Responsibilities:
Daily coverage at the front reception desk includes opening and closing of reception area. Greet all visitors, logging them in on Visitors log and issuing visitor badge. Receive, redirect and screen incoming calls, forwarding callers to voicemail when necessary. Requirements include: intimate knowledge of the phone system (voicemail messages, paging and troubleshooting). May require immediate emergency coordination with IT department if system malfunctions or fails.
Vendor Management – Audit current vendor list & maintains proof of insurance certificates
Open, sort and distribute incoming mail (internal and external). Receive and distribute incoming faxes. Ship packages and correspondence (overnight if required). Balance and maintain postage meter account.
Co-ordination and scheduling of company conference room schedules. May require resolution of conflicting meetings. Post schedule on each room on daily basis or as needed.
Assists in the ordering, receiving, stocking and distribution of office supplies.
Perform administrative and data entry support to Human Resources and Accounting.
Familiarity with Crisis Management procedures. May require urgent action in securing appropriate senior management personnel in responding to potential crisis situation.
Provide training for all personnel whose role includes back receptionist duties.
Prepare gift baskets as needed for new hires and special customer requests.
Support various departments requesting assistance to perform administrative duties to include mailings, shipping, preparing promo materials, organizing, etc.
Maintain daily gasoline log.
Required Skills
Required Experience
Associates degree preferred
Minimum 1 – 2 years’ experience with administrative/clerical support in a professional office setting and demonstrated customer service excellence preferred. Exposure to an HR or Accounting environment a plus.
